Bookkeeper Position

The job of bookkeeper consists of the following main functions which are currently done in Quickbooks Online
Accurately recording of weekly giving and making a bank deposit.
So that a weekly giving update can be provided
So that year end giving statements can be providing in January of each year
Paying bills through QuickBooks which also involves coding them to the proper account so that financial reports can be issued
This includes managing the bank accounts, and reconciling the bank and credit card accounts
Paying payroll which is currently done through a payroll service that prepares most all required tax forms
This is currently done on a bi-weekly basis
The rest of the duties are more sporadic and include but aren’t limited to the following
Sending financial reports out of QBO to
The finance team and elders as required
To others with budgetary oversight
Providing answers to financial questions as they arise from people with budgetary responsibilities.
Assisting with insurance matters, heath, property and liability and workers compensation. This includes renewals and audits.
Collecting w-9 forms before unincorporated subcontractors are hired.
Assisting deacons including facility team with financial aspects of their work.
Providing the person collecting rents with information about any late paying tenants.
Working with the treasurer or designated member of the finance team to review accounting and improve reporting
Maintaining HR/employee files with required paperwork
Alerting the treasurer or other employee of important paperwork that can not be resolved or needs a decision by the treasurer/elder
Assisting with the budget
Inputting the approved budget into QBO so budget actual reports can be run
Other budget assistance as requested
Other matters not enumerated.
This list isn’t exhaustive and is intended to give an overview of duties that consume the time of the bookkeeper. A final job description will be developed and duties will be subject to the ongoing and changing financial needs of the church.
This position reports to the Treasurer, and requires a regular but flexible 5-10 hour per week commitment. This job does have regular deadlines and if someone has a full time job there are weekly duties that must be fulfilled in this position. Workarounds can be made for vacation time and time off. The candidate for this job should have good math skills, accurate and highly attentive to details. Accounting skills are helpful but not required.
